    Materials

  • Provide the electronic files you will display during the conference to the ViTS Facility in advance
    bullet Save your files to the shared Hq_groups 'Hqdata1' (W) Drive in the ViTS Unsecured Documents for Presentation folder

  • For back-up, you can...
    bullet Send your files to ViTS by e-mail: hq-vits@nasa.gov
    bullet Bring to your conference a 3.5" floppy or a PC Zip disk
    bulletBring Hard Copies, (Transparencies not necessary)

  • 35mm slides or other media require 24 hour notice


Here are some tips for you to consider so your conference can go smoothly and occur on time.
    Timing Factors
  • Request your meeting as far in advance as possible, and be as flexible as possible as to dates and times
  • Notify your participants in advance
  • Send your conference materials to all participants (preferably not just a single point of contact) 24 hours in advance
  • Last-minute conferences are sometimes possible, so do not hesitate to call at any time

    Keeping the Conference on Track
  • Prepare and use an agenda
  • ADHERE TO NASA REGULATIONS and request permission from all participants when there is a request to record the meeting
  • Begin the meeting with a brief roll call to allow all participants to know who is at each site
